Can I use it as a proposal template?

Yes. Clear the example and fill in your own details, or keep the example and change the words. The sections follow the order Aventide uses: a cover, where the client is now, what you will do, how you will work, your investment and next steps. Download it as often as you like.

How it works

Add your brand

Type your business name, add your logo and pick your brand colors and a font pairing. The pairings are the ones Aventide’s Brand Kit offers. Your logo stays on your device and is never uploaded.

Fill in the proposal

Add the client, the project, what you will do and how the work will run. Then set your price, any add-ons and a deposit. The total, the deposit amount and the tax line are worked out for you.

Download the PDF

Click Download PDF, then choose Save as PDF in your browser’s print window. Send it to your client the way you usually do. Change anything and download again as often as you like.

It is not for you if you want the words written for you, or a proposal your client can accept online. Aventide does both, with a 14-day free trial.

What goes in a proposal?

A client proposal needs a cover with the project and the client’s name, the client’s situation in their own words, what you will do, how the work will run, the price with what it includes, and how to say yes by a set date. Two or three pages is plenty.

Start with the client, not with you. A short paragraph on where they are now, in the words they used on the call, shows that you listened. If you have a real result or a client’s quote, one line near the end is enough.

Write the scope as outcomes, one line each, four to eight lines. Then split the work into three or four phases with a rough timing for each, so the client can picture the weeks ahead.

End with one clear next step and the date the price holds until. This generator uses the same order as a proposal in Aventide: cover, where you are, what we will do, how we will work, your investment and next steps.

For a full worked example, a brand designer’s $12,000 proposal taken part by part, read our guide on how to write a sales proposal.

How should I price a proposal?

Give one price for the work you scoped, then list each add-on as its own line with its own figure. Keep monthly fees apart from one-time fees, put optional extras after the total, say how much deposit you need to start, and end with “Plus applicable taxes.” The client should be able to check every number.

A fixed price for a defined scope is easier to say yes to than an hourly estimate, because the client knows the most they will pay. Ongoing work can have a monthly fee in the same way.

Never add a monthly fee into a one-time total. Show two totals instead, so nobody reads a $2,000 monthly retainer as part of a $12,000 project.

Optional extras let a client choose more without a second proposal. List them after the total, marked optional, so the total stays the price of what you scoped. If you take a deposit, state it in one sentence with the amount: “A 50% deposit ($6,750) is due to start.”

The generator does each of these for you, the same way a proposal in Aventide does.

What happens after the client says yes?

After a yes, send a contract that repeats the scope and the price, collect the deposit, and book a kickoff call. The proposal is the client’s yes to the plan; the contract sets the terms and is the document you both sign. Start the work once the deposit is paid.

With a PDF, those are separate jobs: reply to their email, write or copy a contract, get it signed, then send an invoice for the deposit.

In Aventide they follow on from each other. Your client reads the proposal online, in your brand, and accepts it by typing their name. Their yes brings up suggested agreements to tick, and when you approve, Aventide drafts each one you ticked. You countersign and send it, and the client e-signs it on a page in your brand. If the contract has a deposit, the deposit invoice comes next.

Anything Aventide drafts for a client waits for your approval; automations you switch on run on their own.

When a PDF is not enough

  • A PDF has no Accept button and no tracking.

  • In Aventide, the client accepts in their portal.

  • A change after a yes asks them again.

  • Aventide suggests agreements from the accepted price, for you to tick.

What this free tool does not do

It does not write the words for you, the PDF has no Accept button, and it does not track opens.

Aventide’s AI can draft a proposal for you to review.

Questions about the proposal generator

Is this proposal generator really free?

Yes. You can make and download as many proposals as you like, with no sign-up, no email address and nothing added to your PDF. We built it to show how proposals look in Aventide. If you want clients to accept online, Aventide has a 14-day free trial with no card.

Does it use AI to write the proposal?

No. This page has no AI. It lays out exactly what you type and works out the price table. If you want a first draft written for you, Aventide’s AI drafts a proposal from a short brief and shows you the outline and the price before it writes a word.

Is anything I type saved or sent anywhere?

No. The proposal is built in your browser. Nothing you type is sent anywhere or stored, and your logo is never uploaded. That also means nothing is kept: if you close or refresh the tab, your proposal is gone. Download the PDF before you leave the page.

What is the difference between a proposal and a contract?

A proposal sets out the work and the price so the client can say yes. A contract sets the terms you both sign: the scope, payment, what happens if plans change and who owns the work. Send the proposal first and the contract once they accept.

Can I make a proposal on my phone?

Yes. The tool works on a phone. Download opens a printable copy in a new tab, with a note to use the browser's Print.
