FOR COACHES

Software for coaches: booking, payment and the agreement in one place

Aventide is software for coaches. Your life coaching clients book a session, pay in full or a deposit, answer your intake questions, meet you on Zoom or Google Meet, sign your coaching agreement and find what you share in their own portal. One tool instead of a calendar, a contract PDF, a Notion form and a Stripe link.

IN YOUR WORDS

Why does onboarding one coaching client take five tools?

"My onboarding process is a discovery call, a contract PDF, an intake form in Notion, and a first session."

A coach writing on Coaching Briefs, a coach blog, April 2026.

"I forewent a contract … Now, I view it as an important formality that strengthens my client relationships."

Jori Bell, product coach, on her business stack, January 29, 2024.

"Dubsado took months to figure out (while also coaching clients) and I finally gave up."

A coach reviewing Paperbell on Software Advice, date not shown.

All three describe a coaching business held together by hand: the booking, the agreement, the intake form and the payment each live somewhere different, and joining them up is work nobody pays for. When it takes too long, something gets skipped, and often it's the agreement.

STEP ONE

Clients book and pay before the first session

Share your booking page and clients pick an open time. They pay in full or a deposit when they book, through your own Stripe account, and Aventide adds no fee of its own. Each booking type has its own price and rules, so a paid first session and a free discovery call can sit side by side. Clients can reschedule or cancel within the notice you set, and they get an email confirmation either way.

STEP TWO

Intake answers before you meet, and a link for the call

Add up to 10 intake questions to a booking type: a short answer, a longer one, a choice from a list or a checkbox. Clients answer as they book, so you read their goals before the first session instead of chasing a Notion form. It isn't built for health records or clinical notes. The booking carries a Zoom or Google Meet link and syncs to your Google Calendar. If you use Fireflies, Granola or Riverside, your meeting notes come into Aventide afterwards.

STEP THREE

The coaching agreement, signed on your own page

Start from the built-in Coaching Agreement, one of seven contract templates. It covers 24-hour cancellations, confidentiality, consent before a session is recorded (AI note-takers included) and a line that coaching is not counseling. Sidekick, the AI in Aventide, can fill it in from your notes. Anything Aventide drafts for a client waits for your approval; automations you switch on run on their own. You countersign, then the client signs on your branded page. Templates are starting points, not legal advice.

STEP FOUR

What you share lives in their portal

Each client gets a portal in your branding. The documents and files you share with them stay there, so a welcome note, a worksheet or a session recap isn't lost in an email thread. Invoices go out from the client's room, payments are tracked, and they sync to QuickBooks if you use it. Each morning the Daily Brief lists what needs you: today's sessions, drafts waiting for your approval and invoices that are overdue.
