Business Hub: what Aventide knows about your business
Short answer
The Business Hub is where Aventide keeps what it knows, and it's what makes Aventide AI that knows your business. It holds your business facts, your clients and their notes, your goals and to-dos, your documents and the tools you've connected; your brand details sit in the Brand Kit. It fills up three ways: you type it in, Aventide reads your website when you set up, and it suggests updates. Aventide remembers how you like to work on its own, and you can forget any of it. It asks before it writes down what's true about your business, like a price. Every business you run has its own Hub, so if you want one memory shared by all your businesses, Aventide isn't built for that.
How the Business Hub works
What's in the Business Hub?
Everything Aventide works from for one business, in four views across the top. Main Hub holds your to-dos, your goals (Now, Then and Later), your notes and ideas, and Sidekick approvals, where Aventide's suggestions, and anything it drafts for a client, wait for your OK. Workspace holds your documents, the ones you upload and the ones Aventide makes. Vault holds files and details such as your EIN, plus Smart Compliance; what you lock there stays out of the AI, apart from a scan you choose. Memory holds your business facts in three groups, Business, Offer and Money, such as your biggest blocker, your capacity, your pricing model, your booking policy and your payment terms. It also holds notes about each client and your own preferences. Your brand, from your business name and what you sell to your logo, colors and fonts, is kept in the Brand Kit, in Marketing. The plug icon at the top opens Integrations, the tools you've connected.
Where does Aventide get what it knows?
From you, three ways, and nothing Aventide learns becomes a business fact until you or a teammate says so. You type it: on the Memory tab, click the pencil on any line, or click + Add a fact, give it a name and file it under Business, Offer, Money, Marketing or Other. Aventide reads it when you set up: give your website, paste what ChatGPT or Claude already knows about your business, or both, and Aventide lists what it found for you to fix before anything is kept. Aventide suggests it later, from what you tell it in a conversation, from its nightly review of what you wrote, and from a website you share in a chat. Jori Bell, a product coach, wrote in January 2024: "As my writing assistant, ChatGPT plays an increasingly significant role in my daily tasks." If that's you, the paste box brings what it knows across.
What does Aventide remember on its own, and what does it ask first?
It remembers how you work, and it asks before it writes down what's true. Without asking, it keeps how you like to communicate, how you make decisions, how long you want its replies, what's been on your mind lately, and background about a client, such as how they like to be contacted. Before it saves anything true about your business, it asks: every business fact, a promise you've made to a client, and a client's price. When it isn't sure who or what something is about, it asks about that too, even a preference. Where it heard something doesn't change the rule: a price you mention in passing is still a price, so it still asks.
Where can you see what it knows, and change it?
On the Memory tab of the Business Hub. At the top, the panel called What Aventide knows about you shows how many key details are saved, with up to three missing ones as buttons; click one and its line opens for you to fill in. My Business holds Your business, the facts, and Your clients, a list of notes for each client. Preferences holds Pinned (what you asked it to remember), How you like to work and On your mind right now. Each line there says where it came from, such as "Learned from your conversations" or "You set this", and has a Forget button. What Aventide asks about waits on the Main Hub, in one Sidekick approvals card. If you own the account, Your data, in your profile menu, emails you a ZIP with each business's facts, goals, clients, documents, contracts and invoices, plus your own conversations; anyone can ask support@aventide.ai for a full copy, as our Privacy Policy says.
How do Think, Do and Sidekick use it?
They all start from the business you're in. When a conversation begins in Think or the Sidekick panel, Aventide reads a short summary of your Hub: your business facts and your own preferences, up to 25 open goals and 25 open to-dos, the titles of up to 10 recent documents, your active offers and prices, which tools are connected, how many clients you have at each stage, up to 10 clients with their pinned notes, what's owed and what's been paid this month, and up to five bookings in the next seven days, without names. It reads more only when it needs to: a client's full notes when you name them, a document when you ask about it. When it looks something up for an answer, a Sources row under the reply lists it. Do reads only the parts a recipe needs, and Sidekick on your phone reads the Hub when a question is about your business.
What if you run more than one business?
Each business has its own Hub, and nothing in one reaches another. Pick a business from the menu at the top of the Business Hub; every screen reloads for the business you picked, and Aventide reads only that one. What it has learned about how you work is kept per business too, so a preference you teach it in Lumen & Oak Studio doesn't carry over to Fern & Field Consulting. Nothing is added up across businesses: money and reports show one business at a time. A new business starts with its own setup and its own first read. On your phone, a Sidekick chat keeps its own business, so switching there doesn't change the app. Teammates on your account can open every business on it; you can't limit someone to one.
How to set up your Business Hub
Let Aventide read your business
When you set up a business, the first screen asks for your website, what your AI already knows, or both. Click Read both, Read my site or Read what I pasted. Reading costs no credits, and each business can read up to 10 times a day. Starting from scratch? Click I'm starting something new and describe it in one line.
Fix what it found, then your brand kit
On the screen that says "Here's what I read. Fix anything I got wrong", change any line and remove what you don't want. If your website and your pasted answer disagree, pick one with Use this, then click Looks right. Next comes "Here's your brand kit": keep, change or remove your logo, colors, fonts and the rest, then click Use this brand kit, or I'll do this later to save none of it for now. If you gave a website, you can also pick photos from it for your Brand Kit; only the ones you add are imported.
Fill in what's missing
Open the Business Hub and click Memory. What Aventide knows about you shows how many key details are saved ("the more Aventide knows, the sharper it thinks with you") and up to three missing ones as buttons, most useful first. Click one to fill it in; a brand detail, such as what you sell, opens the Brand Kit instead. For anything without a line of its own, open My Business, choose Your business and click + Add a fact.
Keep it current
When Aventide has suggestions, the Sidekick approvals card on the Main Hub says how many, and your Daily Brief carries the same count with a Review link. Open the card, edit any suggestion, then click Save to memory or Not now. To change a fact yourself, click its pencil, or tell Aventide in Think, such as "Our hourly rate is now $150"; it shows you the change to confirm, unless your message already gave the exact value.
Who sees what, and what the AI reads
What the business knows is shared with your team; how you work is yours. Each part of the Hub:
In the Business Hub | Who sees it | Does Aventide's AI read it? |
|---|---|---|
Business facts, and the Brand Kit in Marketing | Everyone on your team | Yes |
Notes about your clients | Everyone on your team | Yes: pinned notes from the start, the rest when you name the client |
Goals, to-dos and Workspace documents | Everyone on your team | Yes: goals and to-dos from the start, a document when you ask about it |
Ideas | Everyone on your team | Only after you click Make goal, Make task or Explore with Aventide |
Meeting notes you bring in | Only you; the summary Aventide writes is a document your team can see | The summary, yes |
Vault files and details | Everyone on your team; the account owner can keep details like your EIN to themselves | Not while locked, except a Smart Compliance scan you choose |
Your preferences: Pinned, How you like to work, On your mind right now | Only you | Only in your own conversations |
Your Think conversations | Only you | Yes, in that conversation; the nightly review reads what you wrote |
Your own Gmail and Google Calendar | Only you; teammates see your calendar as busy or free | When you ask something that needs them, never in the nightly review |
Inviting teammates needs Starter or Pro; on the free trial it's just you. None of it trains AI: our Privacy Policy says "We don't train AI models on your data or your clients' data," and our AI providers don't use it to train theirs either (read October 17, 2026). The Security page has more on the Vault.
What the Business Hub costs
The Business Hub is on both plans: Starter is $39 a month and Pro is $99 a month, each with unlimited businesses, every one with its own Hub, and unlimited team members. Doing things yourself never uses credits. Only the AI's work does. Adding, changing and forgetting facts is free, and so are onboarding's read of your business and the nightly memory review. AI credits are used when Aventide works from your Hub: each message in Think or Sidekick, and each document Do makes, at 150 credits. At 0 credits the AI pauses and the rest of Aventide, your Hub included, keeps working. The free trial is 14 days with no card, 4,000 AI credits and up to three businesses.
Questions about the Business Hub
Does Aventide change my business facts without asking?
No. A business fact changes only when you or a teammate edits it, gives Aventide the exact new value, or saves one of its suggestions. Each night Aventide reviews what you told it in the last 45 days and suggests at most three changes per business. It skips any that match what's saved, and it won't ask about a fact you dismissed for 30 days.
How do I make Aventide forget something?
Click Forget beside it on the Memory tab, under Preferences; you have a few seconds to Undo. Anything Aventide learned on its own is then marked, so it isn't learned again from your recent conversations. A note about a client has its own Delete, in Your clients and on the client's card. You can also ask in Think; it checks with you before it deletes anything.
Can I bring in what ChatGPT or Claude already knows about my business?
Yes, when you set up a business. Click Copy beside What your AI already knows, ask ChatGPT or Claude that question and paste its answer. The question asks it to write "Not known" instead of guessing, and to leave out passwords, payment details and private customer information. Aventide then lists each fact it found for you to fix or remove.
Can I keep something in the Business Hub away from the AI?
Yes. Lock a file or a detail in the Vault, and Think, Sidekick, Do and the Daily Brief won't read it. The one exception is a Smart Compliance scan you choose to run. Only the account owner can remove a lock, and locking an item again later doesn't erase what the AI already saw. A lock controls who and what can use an item; it isn't extra encryption.
What shouldn't I put in the Business Hub?
Social Security numbers, full card numbers and bank logins: our Privacy Policy asks you not to type them into Aventide at all. Payments and bank links go through Stripe instead. If a document you upload shows a government ID number, such as a tax filing, keep it locked in the Vault, where Aventide's AI can't see it unless you choose a Smart Compliance scan.
Is the Business Hub the same as the Brand Kit?
No. The Brand Kit, in Marketing, holds your brand: your business name, what you sell and who it's for, your logo, colors, fonts, voice and Style, which your documents and client pages use. The Business Hub holds the rest: your other facts, your clients, goals, to-dos and documents. Aventide reads both, and on the Memory tab a Brand kit link takes you there.
